Who we are

BVI Clear (www.bviclear.com) is a private helper operated by Colin Rathbun, Tortola, British Virgin Islands. Contact: colin@tortolaexpress.com.

BVI Clear is not a government website and is not run by the Government of the Virgin Islands. The official ED card is filed at bviedcard.gov.vg. We do not operate that site.

What we actually do

You create an account with Clerk, using email and/or Google. Clerk then keeps you signed in with session cookies.

We store traveler and passport profile data and trip answers in our database: Neon Postgres, hosted on Vercel. That includes name, date of birth, passport numbers, nationality, photos, flight or vessel details, bags, customs answers, contact details, accommodation, companions, countries visited, and similar fields the official form asks for.

If you send Feedback, we store the message and any name, email, or signed-in account you attach so we can read it.

If you upload a passport bio-page photo, we send that image to an LLM through OpenRouter (currently Google Gemini) so we can prefill fields. The photo leaves our app for that processing. Do not treat that as private to the BVI only.

A bot on our computers fills the official form at bviedcard.gov.vg with your data when you tap Fill. That is the government site. We do not operate it. You still review and file there.

Hosting is Vercel. Auth is Clerk. Database is Neon. AI is OpenRouter. Those processors may be outside the British Virgin Islands and the EU.

We may charge for this helper later. There is no payment processor yet, and we do not take cards today.

Accounts, sessions, and cookies

Sign-in is handled by Clerk. Necessary cookies are the Clerk session cookies and whatever Vercel needs to host the site.

We do not run analytics, advertising, or other optional trackers today. If we add any later, we will say so and ask again where we must.

Visitors we detect as being in Europe (EU/EEA, the United Kingdom, or Switzerland) see a cookie notice and can accept or deny. Denying does not block sign-in. Other visitors do not see that notice.

Passport photos and the LLM

The bio-page photo feature is optional. If you use it, the image is sent to OpenRouter and then to the model (currently Google Gemini) so we can read printed fields.

That is a third-party model. The image is processed outside this app. We cannot promise the provider will only use it the way you might expect of a BVI-only service. OpenRouter zero-data-retention is an account setting the operator can enable in the OpenRouter dashboard — this policy does not claim that setting is already on.

By using the photo feature — and by accepting these terms — you consent to that transfer.

Filling the official form

When you tap Fill, we send your saved answers to a bot we run. The bot types them into bviedcard.gov.vg. You are responsible for checking that the official form is correct before it is submitted.

The government site has its own terms and privacy rules. We are not that site.

Processors outside the BVI / EU

Vercel hosts the app. Clerk authenticates you. Neon stores the database. OpenRouter (and the model behind it, currently Google Gemini) reads passport images you choose to send.

Those companies may process data in the United States or other countries. When they offer a transfer tool (for example standard contractual clauses or a similar safeguard), we rely on that. We are a small operator, not a law firm, and we do not claim a custom transfer impact assessment for every processor.

If you are in the EU or EEA (GDPR)

Controller: BVI Clear, operated by Colin Rathbun, Tortola, British Virgin Islands.

Lawful bases: contract — providing the helper you asked for; and consent — accepting these terms, optional cookies if we ever add them, and sending passport images to an LLM.

Your rights: access, rectify, erase, restrict, object, data portability, withdraw consent, and complain to a supervisory authority in your country.

How to exercise those rights: email colin@tortolaexpress.com, or delete travelers and your account in the app. We will also delete stored data when you ask, or when the account is deleted.

International transfers: your data may go to the US and other countries through Clerk, Vercel, Neon, and OpenRouter, with the safeguards those processors publish.

Retention: we keep the account and saved travelers while the account is open. We delete on request or when the account is deleted. Clerk may keep auth records on its own schedule.

Children: this service is not for anyone under 16 without a parent or guardian, or under 13 in the United States.

Security: access to the app is signed-in and the site uses HTTPS. We do not claim perfect security.

Payments

There is no paid plan and no payment processor today. We may introduce paid access later. If we do, we will name the processor and update this policy.

Changes

The current version of this policy is 2026-08-27. If we change it, we will bump that version. You may need to accept again before using the helper.
